1. Who provides FuelSum

FuelSum is provided by PASHOTECH LTD, 1 Kingsfield Oval, Stoke-on-Trent, Staffordshire, ST4 6HN, United Kingdom ("we", "us"). We are the controller for the personal-data processing described here for which we determine the purposes and means.

Privacy contact: privacy@fuelsum.app. Support: support@fuelsum.app. Additional provider details are available in Legal information.

This policy covers FuelSum for Android and iOS, its download and purchase-verification services, and communications you send to us. You do not need a FuelSum account, registration or password.

2. Information on your phone

FuelSum stores fuel entries, including amount, currency, date, time, station name and entry method, in its private app storage. It also stores settings, downloaded station packs and detection information such as stop time, distance from a station, location accuracy and notification status.

FuelSum does not upload your fuel history or the GPS coordinates used for detection to our servers. We do not operate a cloud fuel-history account or automatically synchronise your fuel records between devices.

3. Background location and local reminders

If you enable station recognition and grant the required permissions, FuelSum accesses and uses precise location to recognise movement and possible fuel stops, including in the background when the app is closed or not in use and when your phone is locked.

Detection and station matching take place on your phone using downloaded station data. A matching check does not send your position to the station-data server. Reminders are created locally on the phone, not delivered through a remote push-notification service. FuelSum does not upload a push-notification token.

You can disable station recognition in the app or revoke location permission in your phone's settings. Manual fuel entry does not require location permission. Notifications are a separate permission: disabling notifications alone does not withdraw location access. On Android, recognition uses a foreground service with an ongoing status notification, and battery-management restrictions can affect its operation.

4. Downloads and purchase verification

FuelSum's own network requests serve two purposes: obtaining station data and, when billing is enabled, verifying purchases.

Station data. The app requests a station-data manifest and the relevant country file over HTTPS. The receiving service sees your IP address and the requested file, which identifies the country pack. These requests do not contain fuel entries, GPS coordinates or an app-supplied device identifier.

Purchases. Payments use Google Play Billing on Android or Apple's App Store in-app purchase system on iOS. FuelSum sends our verification service the platform, store-issued purchase credential, product identifier and a one-time verification code. For Google Play subscriptions it also sends a random install identifier created by the app (not a hardware or advertising identifier), so that one subscription works on one phone at a time; when you confirm "Use on this phone", the request asks to move the subscription to this phone. iOS subscriptions are not limited in this way. The service checks the purchase with the relevant store to determine entitlement to paid features. These credentials identify a purchase; they are not a FuelSum account.

The verification payload does not request your name, email address, fuel history or location. We do not receive your store password, bank-account details or full payment-card details through this process. As with a download, the receiving service can see connection information such as your IP address.

The purchase credential is held in protected device storage. FuelSum does not synchronise it through a FuelSum account. Retention and deletion are described in section 8.

5. Exports, support and our website

An export creates a JSON file of fuel records. You choose a folder or use the phone's system share sheet to choose an app, service or recipient. We do not automatically receive that file. A copy you send to an email or cloud-storage service is handled by that service under its own arrangements.

Help & support in the app lets you write a subject and message and then opens your email app with a pre-filled email to support@fuelsum.app. It adds the app version, platform and device language so we can investigate technical issues. Nothing is sent until you send the email yourself. You can also use the form on our support page at https://fuelsum.app/support/, where you choose a topic and enter your email address and message; when you select Send, we receive the topic, your email address, your message and any app details shown on the page. Fuel records and location are not attached.

If you email us instead, we receive the message contents, your sender address, any accompanying sender name and attachments you choose to provide. We use support information only to respond and investigate the issue. We do not obtain remote access to your phone by receiving a support request.

Website. Our website does not use cookies, analytics or advertising, and it does not load fonts or scripts from other companies. Our hosting provider processes your IP address and basic request details to deliver the site and protect it from abuse: the website is hosted by Cloudflare, Inc. (Cloudflare Pages). We do not enable website analytics or keep our own website access logs; Cloudflare may keep limited request and security logs under its own policies. Messages sent through the support form are delivered to our private support inbox by: Web3Forms, a form-delivery service, which forwards the message by email to our support mailbox hosted by Zoho Mail (Zoho Corporation, UK data centre).

6. Advertising and test diagnostics

FuelSum does not include advertising, analytics or automatic crash-reporting systems. It does not use advertising identifiers or track you across other companies' apps or websites. We do not sell personal data or use it for targeted advertising.

Test builds can keep up to 300 recent diagnostic events locally. These describe measurements such as distance, relative bearing, speed, accuracy and detection reasons, not latitude or longitude fields. A diagnostic export is shared only when you choose Share and select a destination. If you choose to send it to us, we use it to investigate the reported issue. This diagnostic feature is disabled in production builds.

7. Providers and international transfers

Hosting and delivery providers may process download and verification information on our behalf, and communications providers may handle support messages. Google and Apple also process store information under their own privacy notices. Providers do not receive your local fuel history merely because you use FuelSum.

The providers, their roles, relevant data, processing countries and any applicable international-transfer safeguards are: These details will be published here before FuelSum is released in the app stores.. You can contact us for information about applicable safeguards and how to obtain a copy.

We may disclose information we hold where required by law or where necessary and lawful to establish, exercise or defend legal claims. This does not give us access to records held only on your phone.

8. Retention, backups and deletion

Fuel records and settings: Fuel entries are kept on your phone for two calendar years; older entries are then removed automatically (an exported backup keeps them). You can delete individual entries, or all fuel data, in the app at any time. Settings stay until you clear the app's data or uninstall it.

Stop candidates, positions and other temporary detection information: A possible fuel stop that has been answered or has expired is deleted automatically after 14 days, and no more than 4,000 are kept. A stop still waiting for your answer is kept until it is resolved. Related reminder records are deleted with it.

Local purchase credentials, including any retained iOS Keychain item: The store purchase credential, the last verified subscription status and, on Android, a random install identifier are kept in the phone's protected storage (Android Keystore or iOS Keychain), limited to this device, until the app is uninstalled. On Android they are removed with the app. On iOS, Keychain items may remain after the app is deleted, as managed by iOS; they cannot be read by other apps and are not transferred to another device.

Connection logs and other server records: These details will be published here before FuelSum is released in the app stores.

Purchase-verification records: These details will be published here before FuelSum is released in the app stores.

Support-form messages, support correspondence and diagnostic files received by us: These details will be published here before FuelSum is released in the app stores.

The rules for information held by our providers include the retention and expiry of their backup copies. Longer retention is limited to information needed for a specific legal obligation or an actual dispute.

Android automatic cloud backup is disabled for FuelSum. Device-to-device transfers and iOS backups are separate: on iOS, FuelSum's database and station packs are excluded from iCloud and computer backups, and its protected-storage items are limited to the device. On Android, some phones' device-to-device transfer tools can still copy app data to a new phone. FuelSum does not operate those device-level services.

To remove the local fuel database, uninstall the app and remove its app data. On Android, you can also clear the app's storage in system settings. Exported files, independently retained backups and protected credentials are separate from the fuel database and follow the rules above. Deleting the app does not cancel a store subscription or erase messages or verification records already held outside the phone.

We do not have a server copy from which to recover fuel records that existed only on your phone. Keep an export of records you need before deleting app data or before any automatic cleanup described above.

9. Security

Local records use the operating system's private app storage. Station downloads use HTTPS, and purchase credentials use protected device storage. Security arrangements for purchase-verification connections and information held by our service and support providers are: These details will be published here before FuelSum is released in the app stores..

No system can guarantee absolute security. Protect access to your phone and to any exported files.

10. Legal grounds and your rights

Where UK or EU data-protection law applies, we rely on consent for optional location processing; performance of our agreement for necessary fuel-recording functions, requested downloads, purchase verification and contractual support; and legitimate interests for necessary security, preventing purchase misuse and responding to general enquiries. Those interests must be balanced against your rights. A specific legal obligation may require particular retention or disclosure.

Location is not required for manual entry. Purchase verification is needed for verified paid access. A contact address is needed for us to reply to a support request.

Where applicable, you may request access, correction, deletion, restriction of processing or data portability. You may object to processing based on legitimate interests. These rights depend on the conditions and exceptions in applicable law.

You can withdraw location consent by disabling recognition or revoking permission. Withdrawal does not affect processing that was lawful before it. Accepting the Terms of Use does not itself grant a device permission or consent to optional processing.

Send requests to privacy@fuelsum.app. We may ask for information reasonably necessary to verify your request and will respond within applicable legal time limits. We cannot remotely retrieve or erase information that exists only on your phone, but can explain the local controls. You may complain to the UK's Information Commissioner's Office or another competent data-protection authority, including, where applicable, one in the country where you live or work.

11. Children and changes

FuelSum is not designed or marketed for children and does not perform age verification. Contact us with concerns about information a child may have sent to us.

We will update this policy when relevant practices change and provide appropriate notice of material changes. Where a new use requires consent, we will request it before that use. A policy update does not itself provide consent.
